Real Estate Growth System

Real estate leads are rarely lost in the ad. They are lost after it.

Most builders and channel partners already have enough enquiries to hit their numbers. What they do not have is a system that captures, qualifies, routes and follows up on every one of them — from the first ad click to the booking.

Delivered in two stages

Campaigns, project landing pages, creatives, lead capture with source tracking and click-to-WhatsApp run today. The CRM pipeline, qualification, automated follow-up and scoring open on 1 January 2027, and everything below says which half it belongs to.

THE DIAGNOSIS

Five places a real estate lead quietly dies.

None of these are advertising problems, which is why spending more on ads never fixes them.

  • An enquiry arrives at 9pm and the first call goes out the next afternoon.

By then the same buyer has enquired with three other projects.

  • The same lead exists in the ad platform, a WhatsApp thread and an executive's phone.

Nobody can say whether it was followed up, and two people call the same buyer.

  • Leads arrive with no campaign or project attached.

Spend gets judged on cost per lead, so the campaign producing site visits looks expensive.

  • The only two statuses in use are interested and not interested.

A buyer who is six weeks from deciding is filed next to one who will never buy.

  • A site visit happens and then nothing is scheduled after it.

The most expensive lead you will generate all month goes cold in the gap.

THE SYSTEM

Eight parts, built to work as one.

Four of them run today. The four marked January 2027 are being built — the campaign half works without them, and works better with them.

Campaign acquisition

Meta and Google campaigns built per project, with creative and copy written for the location, configuration and budget you are actually selling.

Project landing page

A page per project rather than one generic site — floor plans, pricing band, location and a form built to be filled on a phone.

Lead capture with source tracking

Every enquiry arrives tagged with the campaign, creative and project that produced it, so spend can be judged on site visits instead of clicks.

Click-to-WhatsApp handoff

Enquiries reach the WhatsApp number your sales team already watches, from the ad and from the project page, rather than sitting in a form inbox.

January 2027

Lead scoring and qualification

Budget, configuration, location and timeline captured and scored up front, so the sales team opens the day with a ranked list rather than a raw one.

January 2027

CRM pipeline

New, Contacted, Qualified, Site Visit, Negotiation, Booking, Won or Lost — one place where a lead's real stage is visible.

January 2027

Automated follow-up reminders

Follow-ups scheduled and chased by the system, so a lead between site visit and decision is never quietly dropped.

January 2027

Sales dashboard and campaign ROI

Lead source, volume, cost per lead, stage movement and campaign return in one view for the sales head and the owner.

THE PIPELINE — FROM JANUARY 2027

Every lead has a stage, and every stage has an owner.

Interested and not interested is not a pipeline. This is the structure your CRM will be configured to when the pipeline half opens, so the sales head can see where the month actually stands.

  1. 01NewCaptured and tagged
  2. 02ContactedFirst response out
  3. 03QualifiedBudget and intent checked
  4. 04Site VisitScheduled and confirmed
  5. 05NegotiationTerms in discussion
  6. 06BookingClosed

Leads that do not convert are closed as Won or Lost with a reason attached, so next month's campaigns are built on what actually happened rather than on guesswork. Until January 2027 your own CRM or sheet holds these stages, and the campaigns still arrive tagged with the source that produced each lead.

SCOPE

What we run, and what stays with you.

Set out before you ask, because the second list is the reason results vary between two clients on the same tier.

We handle today

  • Campaign strategy, build and daily optimisation
  • Creatives, ad copy and project landing pages
  • Lead capture, source tracking and conversion tracking
  • Click-to-WhatsApp handoff from ads and project pages
  • Reporting and the monthly strategy review

We handle from January 2027

  • CRM pipeline setup and lead-stage configuration
  • WhatsApp qualification, routing and follow-up automation
  • Lead scoring and prioritisation
  • Sales dashboards and campaign ROI reporting

Stays with you

  • Advertising budget, paid to the platforms directly and separately
  • Project inventory, pricing and approvals
  • Sales-team responsiveness — answering and following up every enquiry
  • Decisions made on site visits, negotiation and booking
  • Third-party software and API fees where a tool is required

We do not guarantee a number of leads, site visits, bookings or revenue. Anyone who does is guessing with your budget.

QUESTIONS

What builders ask before the first call.

Do you guarantee a number of leads, site visits or bookings?

No, and we will not. Lead volume depends on budget, location and competition; bookings depend on your inventory, pricing and how fast your sales team responds. We commit to the system, the execution and the reporting — anyone guaranteeing bookings is guessing on your behalf.

Is the advertising budget included?

No. Ad spend is paid to Meta or Google directly from your own account, and it is separate from our fee. You keep ownership of the ad account, the audiences and the data in it.

We already have a CRM. Do we have to change it?

No. When the CRM work opens in January 2027, we configure your existing tool if it can hold the pipeline stages and receive leads with their source attached. A migration is only worth doing when the current tool is actively losing leads. Until then, leads still arrive tagged with the campaign that produced them.

How is this different from just running Facebook ads?

Ads stop at the click. Most real-estate leads are lost after it — in response time, routing and follow-up. Today we run the campaign half properly: a page per project, creatives, and every enquiry tagged with its source and handed to WhatsApp. The routing, pipeline and automated follow-up open in January 2027, and the page marks which half each part belongs to.

Can this work for a single project rather than a full portfolio?

Yes. A single project is often the better starting point — one landing page, one campaign set and one pipeline, so the numbers are readable before anything is scaled across the portfolio.

How long before we can judge whether it is working?

Campaigns produce readable cost-per-lead data within the first few weeks. Site visits and bookings follow the real sales cycle, which in real estate runs across months, so the first review that means anything is at the end of the first full month.

Start with the audit, not the retainer.

Send us your current campaigns and how leads reach your sales team today. We will tell you where they are being lost — and whether you need us to fix it.
